Recurring invoices for retainers
If you bill the same client every month, a recurring invoice makes the invoice for you on each date. This guide shows how to set one up.
Before you start
- The client already exists under Clients.
- Recurring invoices are part of the Growth plan and above.
- Your email connected, if you want each invoice emailed straight away.
1. Create the recurring invoice
- Open Recurring.
- Choose the client and add the lines, as on a normal invoice.
- Choose how often it repeats and the date of the first one.
- Choose whether it should be emailed straight away or left as a draft for you to check.
2. What happens on each date
The invoice is created for you, and emailed if you chose that. Your client gets a normal invoice with the pay button and the link.
Note: Recurring invoices run from the daily job. If one ever seems late, open Help, System health to see when the job last ran.
3. Pause or change it
Open the recurring invoice to change it or stop it. Invoices it already created are kept.
4. Retainers with hours
If the retainer includes a set number of hours, use a Retainer project on the Business plan. It tracks the time spent and warns you when included hours run out.
Get the money in
Pair recurring invoices with automatic overdue reminders under Settings, so late payers are chased without you doing anything.
